The Role:

The Facility and Administrative Officer is responsible for overseeing daily facility operations, ensuring seamless office management, coordinating maintenance and repairs, and providing efficient administrative support to enhance workplace productivity.

What you’ll do:

  • Monitor work schedules of support services staff – drivers and logistics officer, guiding and training to ensure efficient service delivery.
  • Maintain accurate records and filing systems.
  • Coordinate and manage office supplies and equipment.
  • Provide C-Level business support to Executive Management as needed.
  • Oversee the maintenance, cleanliness, and safety of the organization’s facilities.
  • Coordinate with external vendors and service providers for facility repairs, maintenance, and security systems.
  • Conduct regular inspections to identify and address any facility-related issues or safety concerns.
  • Ensure compliance with health and safety regulations and emergency preparedness protocols.
  • Ensure compliance with health and safety regulations and maintain proper documentation.
  • Conduct regular safety inspections and implement corrective actions as necessary.
  • Coordinate emergency response procedures and conduct drills when required.
  • Support in the preparation of weekly HSE schedules and presentations.
  • Identify, select, and manage relationships with vendors and service providers for facility-related services.
  • Manage relationships with vendors and service providers, including negotiating contracts and ensuring service level agreements are met.
  • Develop and implement efficient fleet management strategies and procedures.
  • Ensure compliance with applicable laws, regulations, and safety standards related to fleet operations.
  • Maintain accurate and up-to-date records of vehicle inventory, maintenance, repairs, and inspections.

What we are looking for:

Education:

  • Bachelor’s degree in Business Administration, Office Management, Facilities Management, Logistics, or a related field.
  • Additional certifications in Facility Management, Procurement, HSE, or Fleet Management are an advantage.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software is required.

Experience:

  • Minimum of 3–5 years’ experience in office administration, facility management, and executive support.
  • Hands-on experience in coordinating office supplies, equipment procurement, and facility maintenance to ensure seamless operations.
  • Experience providing C-level business support to Executive Management, including scheduling, correspondence, and confidential document handling.
  • Experience in monitoring and supervising support staff, including drivers and logistics personnel, to ensure efficient service delivery.
  • Strong ability to maintain accurate records, filing systems, and document control for compliance and organizational efficiency.
  • Experience in fleet management, including vehicle inventory tracking, maintenance coordination, and ensuring regulatory compliance.
