Job Title: Executive Assistant to Startup Lawyer

Job Summary:
We are seeking a highly organized and proactive Executive Assistant to support a startup lawyer dedicated to providing comprehensive legal protection for early-stage startup founders and entrepreneurs. This role involves managing administrative tasks, assisting with content creation, liaising with regulatory bodies, and ensuring smooth communication with clients and stakeholders. The ideal candidate will thrive in a dynamic environment and have a keen interest in the startup and legal ecosystem.
Key Responsibilities:
Administrative Support:
Manage and prioritize the lawyer’s schedule, appointments, and deadlines.
Handle email correspondence, including drafting, organizing, and responding on behalf of the lawyer when appropriate.
Maintain and organize digital files, case records, and other important documents.
Prepare agendas, presentations, and reports for meetings and webinars.
Regulatory Liaison:
Serve as a point of contact between the lawyer and regulatory agencies such as the Corporate Affairs Commission (CAC), tax authorities, and other relevant bodies.
Prepare, submit, and track applications, filings, and compliance documents.
Ensure timely updates on regulatory changes that affect startups and entrepreneurs.
Follow up on the status of applications and resolve any issues with regulatory bodies.
Content Management:
Assist in drafting and editing legal blog articles, social media posts, and email newsletters.
Conduct research on legal topics relevant to startups and entrepreneurs.
Manage content calendars for blogs and social media platforms.
Coordinate with designers and other content creators to produce engaging visuals.
Client Relationship Management:
Serve as the first point of contact for client inquiries, providing timely and professional responses.
Schedule and confirm client consultations, follow-ups, and feedback sessions.
Maintain and update the client database with accurate information.
Event and Campaign Coordination:
Support the execution of webinars, workshops, and social media campaigns.
Assist in planning and promoting challenges, such as “Launch Legally” campaigns.
Track and analyze the engagement and success of campaigns and initiatives.
General Support:
Stay updated on industry trends, startup law, and entrepreneurship to provide informed assistance.
Manage special projects and tasks as assigned by the lawyer.
Ensure all interactions and outputs align with the lawyer’s vision and goals.
Key Skills and Qualifications:
Education and Experience:
Bachelor’s degree in Business Administration, Law, or a related field (preferred but not required).
Proven experience as an Executive Assistant, Legal Assistant, or in a similar role.
Technical Proficiency:
Proficiency in Microsoft Office Suite, Google Workspace, and task management tools like Trello, Asana, or Notion.
Familiarity with social media platforms (Instagram, LinkedIn) and tools like Canva, Buffer, or Hootsuite.
Basic understanding of regulatory compliance and processes related to startups.
Organizational and Communication Skills:
Exceptional organizational skills and attention to detail.
Strong written and verbal communication abilities, including proofreading and editing.
Ability to manage multiple tasks and prioritize effectively.
Interpersonal Skills:
Professional demeanor and ability to handle sensitive information with discretion.
Strong client service orientation and ability to build rapport with diverse stakeholders.
Positive attitude, proactive mindset, and a strong work ethic.
Preferred :
Experience working with regulatory bodies like CAC, tax authorities, or similar organizations.
Background in legal support or familiarity with legal filings and documentation.
